🔐 App passwords & two-factor authentication (2FA)

Read this before connecting any Nextcloud app — it affects which password you use.

If you have two-factor authentication (2FA) enabled on your account, apps and devices cannot use your normal login password — the server will reject it. Instead, each device gets its own app password (also called a device password):

• In the Nextcloud web interface, go to Settings → Security → Devices & sessions
• Enter a name for the device (e.g. "iPhone", "MacBook") and click Create new app password
• Copy the generated password immediately — it's shown only once and can't be retrieved later
• Use that password (with your normal username) when signing in on that device

Why? Apps can't enter your 2FA code, so each one gets its own revocable token. If you lose your phone, you can disconnect just that device at Settings → Security — without changing your main password or affecting your other devices.

If you don't use 2FA, your normal Nextcloud password works in apps — but app passwords are still recommended for the same reason: per-device control and easy revocation.

💡 This applies to every non-browser client: the Nextcloud mobile and desktop apps, DAVx⁵, and iOS/macOS CalDAV & CardDAV accounts.

☁️ File sync — Nextcloud apps

Install the Nextcloud app, then enter the server address below and sign in with your Nextcloud username and password. If you have 2FA enabled, use an app password instead of your normal password.

💡 On iPhone, the app can also auto-upload your photos — enable it in the app settings if you want a private camera backup.

📅 Calendar sync (CalDAV)

iPhone / iPad / Mac: Settings → Calendar (or Internet Accounts) → Add Account → Other → Add CalDAV Account:

💡 In Nextcloud → Calendar → ⋯ on a calendar → "Copy private link" gives you the direct URL for that calendar — handy for Thunderbird or other apps.

👥 Contacts sync (CardDAV)

iPhone / iPad / Mac: Settings → Contacts (or Internet Accounts) → Add Account → Other → Add CardDAV Account:

📮 Mailbox tasks — for your own email address

These tasks are for managing your own mailbox. If you manage a whole domain (all the addresses at your company), see Domain admins below.

• Forward your email to another address: log in at the mailbox users page (PostfixAdmin) with your email address and password, then edit your forwarding. You can choose to keep a copy in your mailbox or forward everything.
• Change password: Webmail → Settings → Password — or log in at the mailbox users page.
• Forgot your password? Go to the mailbox users page and use the password-recovery link — works if you registered a second (recovery) email address. Otherwise contact us.
• Out-of-office reply: Webmail → Settings → Vacation — turn on, write your message, save. Turn it off when you return.
• Spam: move junk into the Spam folder — the filter learns from it. Check Spam occasionally for false alarms and move them back.

🛠️ Domain admins — manage all addresses at your domain

If you're the administrator for a domain (e.g. all the mailboxes at your company), you manage everything from the PostfixAdmin admin login — a different page from the mailbox users login above.

Which login do I use?
Domain admin — manage all mailboxes, forwards, aliases and passwords for your domain	pfa.rbpgroup.net/login.php

As a domain admin you can:

• Set up forwards for any address at your domain — e.g. send info@yourdomain.com to one or more people
• Add or remove mailboxes as staff come and go
• Create aliases (alternate names that deliver to an existing mailbox)
• Reset passwords for any mailbox at your domain

💡 The same split applies to passwords: users change their own at the mailbox users page; admins can reset anyone's at the admin page.

❓ FAQ

How do I forward my email to another address?

Log in at the mailbox users page with your email address and password, then edit your forwarding. You can keep a copy in your mailbox or forward everything. If you're a domain admin setting up a forward for someone else (or an address like info@), use the admin login instead — see Domain admins.

I forgot my password — what do I do?

Go to pfa.rbpgroup.net/users/login.php (the PostfixAdmin mailbox login) and use the password-recovery option — this works if you registered a second (recovery) email address with us. If you didn't, or the recovery email never arrives, contact us and we'll reset it after verifying it's you.

My password works in the browser but my phone app won't log in

This almost always means you have two-factor authentication (2FA) enabled. Apps can't enter your 2FA code, so the server rejects your normal password. Fix: create an app password at Settings → Security and use that in the app instead.

Are my email and Nextcloud the same account?

Currently they're separate logins (usually the same username). We're working on unified accounts as part of the new portal.

Mail says "authentication failed" but my password is right

Most common cause: the mail app saved an old password. Delete the account from the app and re-add it with the settings above. If it persists, contact us — repeated failures can trigger our attack protection on your IP.

Where is my data, physically?

Hong Kong. All servers are in a Hong Kong data center, operated by RBP Group. Nothing is stored with third-party cloud providers.

How do I share files with someone who doesn't have an account?

In Nextcloud: right-click a file or folder → Share → "Share link". You can set a password and expiry date on the link.
